Learn how to add a step that writes a meeting prep brief when an agent team runs.

Overview

The Meeting Prep agent is one of the agents a ZoomInfo step can run. When the agent team runs, the step gathers what ZoomInfo knows about the account, your upcoming meeting with it and your recent recorded conversations, and writes a meeting prep brief as text. Later steps in the team can use that brief (e.g., an email step that shares it).

The step only reads data. It does not send an email, change your calendar or write to your CRM. What a later step does with the brief depends on that step.

Before you start

  • ZoomInfo steps turned on: This is available when your organization has the ZoomInfo steps turned on. If ZoomInfo is missing from the Add action list, contact your ZoomInfo account team. See How to add a ZoomInfo step to an agent team.
  • Permission to edit the team: If every field in the step's panel is turned off, you can view the team but not change it. Ask your ZoomInfo admin for edit access.
  • Meeting and recording data: The brief is richest when your calendar is connected and your calls are recorded in a connected recording source. Without them the brief can leave out the meeting and the recent conversations. See Troubleshooting Meeting Prep Data in GTM One.

Add the Meeting Prep step

  1. In the left navigation panel, click Agent Teams, open the agent team you want to change, and click the Steps tab.
  2. Click Add action below the steps, then click ZoomInfo.
  3. Under ZoomInfo data, click Analyze Data with a ZoomInfo Agent.
  4. In Agent, make sure Meeting Prep is selected. It is selected by default.
  5. In Input source, select the earlier step whose output this step should use as context. The input source is required.
  6. In Instructions, edit the text to name the account and meeting and any focus areas. It starts as "Prepare a meeting brief for the contact at the selected company. Include the company overview, recent news, key stakeholders, and potential talking points relevant to our product."
  7. Click Save changes.

The step card shows "Run ZoomInfo Meeting Prep agent".

Run the team and find the brief

  1. Run the agent team as you normally do. See How to run an agent team.
  2. Open the run and select the Meeting Prep step.
  3. Read the step's output.

The step waits up to 120 seconds for the brief. Run time depends on how much data the account has.

Tips

  • Name the company in the instructions: The agent looks the company up by name and keeps the first match. A full, exact company name avoids a brief about a similarly named company.
  • Name the meeting: The agent searches your calendar for the next 30 days and matches by meeting subject. Putting the meeting's subject in the instructions helps it pick the right one.
  • The brief is text: In an agent team the brief comes back as plain text, not as a saved document. To keep a document you can share, use a meeting prep template from Documents. See How to Prepare for Meetings in GTM One.

If you see an error

  • "Unable to call Meeting Prep Agent - access token not found. Please ensure you are authenticated and try again." The run could not find your ZoomInfo sign-in. Sign out of GTM One, sign in again and run the team again.
  • "The Meeting Prep Agent request timed out after 120 seconds." The brief took too long. Run the team again after a moment, with instructions that name one company and one meeting.
  • "I was unable to call the Meeting Prep Agent due to the following error:" The request failed. Run the team again, and see Troubleshooting the Meeting Prep agent in agent teams in GTM One if it repeats.
