Overview

GTM One gives you several ways to get ready for a customer call. You can start meeting prep straight from your calendar, create a meeting prep document from a template, check the deal and the account on their profiles, and then ask chat anything the brief did not cover.

A good preparation routine looks like this:

  • Start meeting prep from the meeting itself, on Home or in Meetings
  • Create a meeting prep document when you want a brief you can keep and share
  • Review the opportunity profile when the meeting is about a deal
  • Check the company profile for what matters now at the account
  • Ask chat follow-up questions to fill any gaps

Upcoming meetings need a connected calendar. If your calendar is not connected, click Connect calendar on the Your calendar card on Home or on the Upcoming tab in Meetings, then follow the prompts. Access is read-only, and nothing is written to your calendar.

Start Meeting Prep from Home

The Your calendar card on Home lists your meetings for today and tomorrow. The Prep button appears on meetings that have not ended yet and include someone from outside your company.

  1. In the left navigation panel, click Home.
  2. On the Your calendar card, point to the meeting row.
  3. Click Prep.

A chat opens with a meeting prep request for that meeting. The External only switch in the card header starts on, so customer meetings are listed first. Turn it off to see your internal meetings as well.

Start Meeting Prep from Meetings

Use the Meetings page when the meeting is further out than tomorrow.

  1. In the left navigation panel, click Meetings.
  2. Click the Upcoming tab.
  3. Click Prep on the meeting you want to prepare for.

The chat panel opens beside the list with a meeting prep request for that meeting. As on Home, Prep appears only on meetings with someone from outside your company, and the External only switch starts on.

Create a Meeting Prep Document from a Template

Create a document when you want a brief that is saved in Documents and tagged to the account, so you can find it again on the profile or share it with a colleague.

  1. In the left navigation panel, click Documents.
  2. Click New in the top-right corner of the page.
  3. Under AI Documents, click the meeting prep template. If there is no AI Documents section, click Meeting prep under Agent teams instead.
  4. In the dialog that opens, select the meeting, or search for and select the company or contact, depending on what the dialog asks for.
  5. Optionally, type the angles or priorities you want covered in the Additional context (optional) box.
  6. Click Create.

GTM One generates the document in a chat, where you can keep refining it. The templates available depend on your account. If your account lists agent teams in the New menu, you may also see Meeting prep under Agent teams.

Review the Opportunity Profile

When the meeting is about a specific deal, the opportunity profile keeps the agents and insights scoped to that deal.

  1. Open the company profile for the account.
  2. Click the CRM tab.
  3. In the Opportunities section, click the opportunity.
  4. Click Run agent in the profile header.
  5. Click Meeting prep.

Depending on how your workspace is set up, the agent either runs directly or opens chat with its question already asked. Run agent appears only on plans that include it, and its list includes only the agents in your profile layout that are placed on this kind of profile. If no agents are placed on it, the button does not appear. When agents run directly and you do not have permission to run them, the button is still shown but turned off, and pointing to it explains why. When agents open chat instead, you can still ask the agent's question.

While you are on the opportunity profile, also check the Overview tab in the default layout:

  • Deal insights: An analysis of engagement on the deal. You can also run Deal insights from Run agent.
  • Deal signals: The tailwinds (factors working in the deal's favor) and headwinds (risks working against it).

Deal insights are for information only. They do not predict or judge whether the deal will close.

Check the Company Profile

The company profile shows what is happening at the account right now. In the default layout, check these tabs before the call:

  1. On the company profile, click the Overview tab and read the Important to know section.
  2. Click the Engagements tab to review the account timeline, engaged contacts, and the engagement overview of your conversations with the account.
  3. Click the Signals tab to review the signal overview, website visitor activity, intent activity, scoops, and company news.

The engagement overview covers what the account is exploring, pain points and use cases, competitive intelligence, and a topic breakdown. On the free plan, the Engagements tab is not shown. Your layout may place these sections on different tabs.

Ask Chat Follow-Up Questions

A prep brief is a starting point. Use chat to go deeper on anything you want to know before the call (e.g., which competitors the account has mentioned, or who else to invite).

  1. In the meeting prep chat, type your follow-up question in the composer at the bottom of the conversation.
  2. Press Enter to send your message.

To ask about the account or deal while you are on its profile, click Ask AI at the top of the profile and type your question in the chat panel.

Tips

  • Start with the meeting: Prep passes the meeting details to chat for you, so it is the quickest way to get a brief for a specific call.
  • Keep a copy: Documents created from a template are tagged to the account and also appear on the Documents tab of its profile.
  • Recent activity: Profile data refreshes on a schedule rather than in real time, so a meeting that happened minutes ago may not appear yet.
  • If meeting prep does not start: Check that your calendar is connected and that the meeting includes someone from outside your company. If you still cannot run meeting prep, contact your ZoomInfo admin.
