Overview

An agent team runs when its trigger fires. A new agent team starts with the Run as Form trigger, which you run by hand and fill in each time. You can switch it to a trigger that runs the agent team for you: on a schedule, when a webhook is called, or when something happens in your CRM, your meetings and email, your ZoomInfo audiences or ZoomInfo signals.

When you pick a trigger, the trigger sidebar shows Select a trigger, with All Triggers and one tab per category. You can also type in Search triggers to find one by name. The categories are:

  • Scheduled Trigger: One-time or recurring schedules for your agent team.
  • Engagements: Meeting created, Meeting ended, Meeting transcript available, Email sent and Incoming email.
  • CRM: Account created, Account updated, Contact created, Contact updated, Opportunity created and Opportunity updated.
  • Signals: Website Visit, Form fill and Intent, followed by Contact Changes, Funding and Scoops such as Award, Divestitures, Earnings, Hiring Plans, IPO, Layoffs, M&A, Pain Point, Partnership, Person News Mention, Podcast Mentions, Product Launch and Project.
  • Zoominfo Audiences: New Audience Row, Audience Row Updated and Audience Row Deleted. This category may appear unavailable if it is not turned on for your account.
  • Webhook/API: Webhook, which runs the agent team with any payload sent to its webhook link. An agent team can have only one trigger from this category.
  • Pipeline alerts: Listed but unavailable, so it cannot be selected yet.

In the agent team list, the Trigger column shows how each agent team runs, for example Run as Form, Scheduled, Webhook/API, CRM, Engagements, ZoomInfo Audience, Scoops or Signals.

Schedule an agent team

  1. Open Agent Teams and open the agent team you want to schedule in the builder.
  2. Click the trigger at the top of the canvas to open the trigger sidebar. If the agent team already has a trigger, the Change Trigger dialog explains that changing the trigger resets the existing trigger configuration; click Proceed to continue.
  3. Click Scheduled Trigger.
  4. In the Setup step, set when the agent team runs: choose the Start date and time, choose how it Repeats (e.g., every day, week or month, and on which days), and set when it Ends if the schedule should stop on a date.
  5. Click Continue to move to the Data source (optional) step.
  6. Choose an Input type to decide where each scheduled run takes its inputs, as described in the next section, or leave this step empty.
  7. Click Save in the trigger sidebar.
  8. Save the agent team, then activate it so its status shows ON.

The start date and time must be in the future. If it has already passed, the builder shows "The selected start date and time has already passed. Please choose a future date and time." If the schedule's timezone differs from your local timezone, a warning names both timezones so you can check the run time.

When you create an agent team from a template, a scheduled trigger keeps its time of day but runs in your own local timezone.

Choose where a scheduled run takes its inputs

The Data source (optional) step of a scheduled trigger offers three input types.

  1. Choose Form input to enter fields and values manually. These values are used every time the scheduled agent team runs.
  2. Choose Audience to run from a ZoomInfo audience. Select the audience and the sheet, select the audience columns the agent team can use (or Select all Audience columns), and give each one an Input Name. Turn on Send the entire Audience record as context if the agent team should see every column of the record.
  3. Choose CSV to run from a file. Click Upload CSV and choose your file. Include a header row, because the first row sets the column types. Map at least one column to an input, or turn on Send the entire file as context. Turn on Process all records together to process every record in the CSV in a single workflow run instead of one run per record. Click Replace CSV to use a different file.

An audience or CSV source needs at least one mapped input. Without one, the builder shows "You must map at least one input". A file that is not a CSV shows "Please upload a CSV file.", and a CSV without a header row shows "The CSV file has no headers."

Trigger an agent team from an event

  1. Open the agent team in the builder and click the trigger at the top of the canvas.
  2. Click the category you want (e.g., CRM, Engagements, Zoominfo Audiences or Signals) and then click the event, such as Meeting ended or Account updated.
  3. For an audience event, select the audience and the sheet.
  4. Open the Filters tab to narrow which events start a run (e.g., only records where a field equals a value).
  5. Open the Throttling tab to limit how often the trigger runs, by choosing how many times it can run per period. Use Limit runs by field (optional) to prevent duplicate runs for the same record within that time frame.
  6. Save the agent team, then activate it so its status shows ON.

The audience and sheet of an audience trigger cannot be edited once the trigger is created. If the sheet is not configured for auto refresh, the sidebar shows "Audience sheet selected is not yet configured for auto refresh. Please configure in Audiences page". See How to automate an audience refresh.

The Included Context tab lists what every agent in the team sees by default, and the Analytics tab shows recent runs for the trigger. Analytics are updated hourly and are not real-time.

Trigger an agent team with a webhook

  1. Open the agent team in the builder and click the trigger at the top of the canvas.
  2. Click Webhook/API.
  3. Click Generate link to create the Link to Webhook (POST) and its secret.
  4. Copy the webhook URL and the secret, and store the secret somewhere safe. After the agent team is saved, the secret is hidden and cannot be shown again.
  5. Save the agent team, then activate it so its status shows ON. The generated link does not work until the agent team is saved and activated.

To start a run, send a POST request to the webhook link with the secret in the X-AgentTeams-Key header. The JSON body is passed to the agent team as context. If you lose the secret, click Regenerate link to get a new one.

Activate or deactivate an agent team

  1. Use the activate control in the agent team header. Once activated, the agent team runs every time the conditions for its trigger are met.
  2. If the Review before activating dialog appears, click Fix Errors to complete the missing steps, or click Activate without fixing to activate anyway.
  3. To stop automatic runs, deactivate the agent team. It stops running when its trigger event occurs until you activate it again.

Scheduled and triggered runs use credits like any other run. When the agent team's monthly credit budget is reached, new runs are rejected without starting. You can reinitiate them once the budget is raised or the month resets.
