Learn how to have chat write a follow-up email to a buyer from what was said in a recorded meeting.

Overview

Chat on a recording can write a short follow-up email from the meeting: it refers to the meeting, names the deliverable or next step you committed to, and ends with one specific ask and a timeline. Chat drafts the email only. It does not send it, and it does not change the recording or your CRM. Copy the draft into your own email to send it.

A draft can use AI action credits when your organization is charged for them.

Before you start

  • Open the recording from Meetings, then the Recordings tab. Ask AI is not shown when a recording is opened inside a profile panel or a meeting viewer dialog.
  • Chat can write only from what the meeting holds. If the meeting has little content, the draft is generic.

Draft the email

  1. Open the recording and click Ask AI in the action bar above it. Chat opens with the heading "Ask about this meeting".
  2. Click the suggested question "Generate a follow-up email from this meeting?", or type your own request, such as "Write a follow-up email to the buyer about the pricing next steps."
  3. Wait while chat shows "Analyzing meeting data to answer your question...". The email appears with a subject line, usually in an attached email.
  4. Read it against the meeting. Check the commitments, dates and names.
  5. Ask for changes in the same chat, for example "Make it more formal" or "Mention the security review." Follow-up requests are answered directly from the same meeting.
  6. Copy the final text into your own email and send it from there.

What the draft looks like

  • About 100 words or fewer.
  • A subject line that states a benefit, a reference to the meeting, the deliverable or next step, and a single call to action such as a meeting request or confirmation.
  • One personal detail from what the buyer said, and conversational wording.

Tips

  • Say who the email is for and what tone you want. Chat matches the formality to the meeting's tone when you do not.
  • Chat cannot add details the meeting does not hold. Check anything it cannot have known, such as a price change after the call.
