Learn how to give Chat a file to read, and what GTM One checks before it accepts one.

Overview

You can attach files to a chat message so Chat reads them when it answers. GTM One checks each file as you attach it and uploads it right away, before you send the message. For what to do when a file is refused, see Troubleshooting files you attach to a chat message in GTM One.

Before you start

  • The attach button is missing. File attachments are available when your organization has them turned on. If you see no Attach file button (the paperclip icon) in the chat box and dropping a file does nothing, ask your ZoomInfo admin.
  • Which file types work. The most Chat can accept is BMP, CSV, DOCX, HTM, HTML, JPEG, JPG, PDF, PNG, PPTX and SVG files. The chat you are in may accept fewer. A file of any other type is refused.
  • Limits. Each message takes up to 5 files, and each file can be up to 100 MB.
  • How much Chat reads. Chat reads up to 250,000 characters of file text in a conversation. That limit is shared evenly across every file in the conversation that holds text (CSV, PDF, DOCX, PPTX, HTML), including files you sent in earlier messages. Images do not use any of it. A file over its share is read only from the start.

Attach files

  1. Open a chat from Home in the left navigation panel, or open an existing conversation from Chats.
  2. Click Attach file (the paperclip icon) in the chat box and select up to 5 files. You can also drag files onto the chat box or paste them into it.
  3. Wait until each file shows as a small pill above the chat box. A file is uploading until its pill can be removed.
  4. If a warning appears about a large CSV, decide whether Chat reading only the first part is enough. If it is not, remove the file and attach a smaller one.
  5. Type a message that refers to the file (e.g., "Summarize the attached CSV by region").
  6. Press Enter to send. The files go out with the message.

To take a file out before you send, click the cancel icon on its pill. GTM One also deletes the uploaded copy.

What to expect

  • A file is uploaded as soon as you attach it, not when you send. A file you attach and then remove is not read by Chat.
  • A file that fails shows as a red pill. Point at it to read why. A red pill still counts toward the limit of 5 files until you remove it.
  • Switching to another conversation clears the files attached in the chat box.
  • A file that is too large or of a type that is not accepted gets no pill and does not use one of the 5 places.

If you see an error

  • "You can attach up to 5 files." You tried to attach more files than the 5 a message can carry. Remove a file (red ones included), or send the message and attach the rest in the next one.
  • "File exceeds the maximum size of 100 MB" The message names the file, e.g. "report.pdf:" before it. The file is over 100 MB. Compress it or split it.
  • "File type is not allowed" The message names the file before it. The file's extension is not one the chat accepts. Save it as a supported type, such as PDF or CSV.
  • "is over the" characters "the agent reads", "so it will only read the first part." The warning names the CSV and the number of characters Chat reads from each file. Chat still reads the file but stops at that point. Remove other text files from the conversation to give each one a larger share, or attach a smaller CSV.
  • "Upload could not be prepared for all files. Please try again." The upload could not be set up for the batch, so every file in it shows a red pill. Remove them and attach the files again.
