Learn how to set up, run, pause and review an audience's scheduled refresh.

Overview

An automation refreshes an audience on a schedule and can send the result to connected destinations after each run. You manage it from the Automation control on the audience and from the Automations tab on the Audiences page.

Before you begin

  • You need edit access to the audience to create, change, pause or run an automation. Without it the controls read "Not available in view-only mode".
  • The audience needs records first. The control stays disabled with "Add records to this audience before setting up an automation." until it has some.

Create an automation

  1. Open the audience.
  2. Turn on the Automation switch in the header. An audience with no automation gets a weekly refresh, and a message confirms it.
  3. To change the schedule, open the Automation dialog and choose Set cadence: Daily, Weekly with a day of the week, or Monthly on the first or last day.
  4. In Import criteria, choose how membership is handled. Remove records keeps the audience synced to the latest search results. Keep records keeps existing records and continues adding new matches.
  5. Optionally choose columns to enrich on each run, and turn on Enable automated export to send the audience to destinations after each run.
  6. Save the automation.

An automation has a name of up to 255 characters, up to 10 exports and up to 50 notifications.

Change, pause or remove an automation

  1. In the left navigation panel, click Audiences, then click the Automations tab.
  2. Open the row menu for the automation.
  3. Click Edit to change it, Rename to rename it, or Disable to pause it and keep its settings. A paused automation shows Enable to turn it back on.

Run an automation now

  1. In the Automations tab, open the row menu for the automation.
  2. Click Run refresh.
  3. Open the run history to see the status of the run, how many columns it ran and its steps.

A refresh that is already running cannot be started again. Wait for the current run to finish and try again.

Review run history

  1. In the Automations tab, open the automation's run history.
  2. Look at each run's status and when it was scheduled, started and completed.

See every automation you can reach

The Automations tab lists the automations on every audience you can open. Search by name and sort by name, last updated, created date, cadence, status or destination.

If you see an error

  • "Automation is already running". A run of this automation is still in progress. Wait for it to finish, then run it again.
  • "Automation not found". The automation was deleted or you cannot reach its audience. Refresh the Automations tab.
  • "Automation run not found". The run you opened is no longer in the history. Open the run history again.
