Learn how to export an audience to a file, CRM, warehouse, or ad platform.

Overview

Exporting an audience sends its records somewhere you can use them outside the audience. You can download a CSV or XLS file, or send the records to a destination your organization has connected, such as a CRM, a data warehouse, or an ad platform.

Every full audience export starts from the Activate button in the audience. You can also export individual records from a row's quick actions. Every export you start is listed on the Exports tab of the Audiences page, where you can check its status and download files.

Before You Begin

  • The audience must finish processing before you can export it. While it is still processing, the Activate button is unavailable and shows the message "Please wait for the audience to finish processing before sharing or activating."
  • Your role must allow the export. If it does not, the destination is greyed out with the message "Your role doesn't have permission to use this export. Contact your administrator."
  • A destination other than CSV or XLS must be connected by your organization. A destination that is not connected stays greyed out with a note to contact your administrator to connect it.

Available Destinations

After you click Export view to..., the panel lists CSV and XLS first, followed by the destinations available to your organization. Connected destinations appear above unconnected ones. Depending on your organization's setup, the list can include:

  • CRM and sales engagement: Salesforce, HubSpot, Dynamics, Outreach, and Salesloft
  • Data warehouses: Snowflake, Databricks, and BigQuery
  • Ad platforms: Meta and LinkedIn Ads

Meta supports contact audiences only. For a company audience, the Meta option shows "Company audiences aren't supported for Meta export. Create a contact audience instead".

The bottom of the panel shows how many records the export covers (e.g., the entire view and its record count, or the number of records you selected).

Export an Audience to a CSV or XLS File

  1. Open the audience you want to export.
  2. Click Activate in the top-right corner of the page.
  3. In the Activate panel, click Export view to....
  4. Click CSV or XLS.
  5. Choose the rows to export. If you selected rows or applied a filter, click Entire Audience, Selected Rows, or Filtered Rows. Otherwise, the Export Audience dialog asks you to confirm that you are exporting the entire audience.
  6. Click Next.
  7. Select the checkboxes for the columns you want to include. All columns are selected by default, and you can click Select all or Deselect all to change them at once.
  8. Click Export.
  9. When the "Export started successfully" message appears, click View in exports to open the Exports tab.
  10. When the export's status reads Completed, click the more actions icon at the end of its row, then click Download.

Export an Audience to a CRM, Data Warehouse, or Ad Platform

  1. Open the audience you want to export.
  2. Click Activate in the top-right corner of the page.
  3. In the Activate panel, click Export view to....
  4. Click the destination you want (e.g., Salesforce, Snowflake, or LinkedIn Ads).
  5. Follow the prompts in the dialog that opens to choose the rows and settings for the export, then start the export.

These exports go straight to the destination, so there is no file to download. For CRM exports, records must have a ZoomInfo ID. If none of the selected records have one, the export does not start and a message explains why. For more detail on CRM exports, see How to Export Records to Your CRM in GTM One.

To send an audience to a destination on a schedule, set up an automation. See How to Automate an Audience Refresh in GTM One.

Export to Meta or LinkedIn Ads

  1. In the Activate panel, click Export view to..., then click Meta or LinkedIn Ads.
  2. In the Export to dialog, pick the account under Ad Account. With up to three accounts you choose from a list, and with more you choose from a dropdown.
  3. If the dialog asks "Please select the rows you want to export:", choose the rows.
  4. Start the export.

The dialog confirms that the export is in progress and may take some time. Click View progress in Exports to follow it.

Ad platform exports use credits. When the export holds more records than your credit balance, the dialog warns that the export may use up to a number of credits and shows how many you have available. You are not charged for companies or contacts you already own, or that you already sent to the same ad account, so the export may still go through. The warning does not block the export. If there are not enough credits, the export fails.

Export Individual Records From a Row

You can export a single record, or a few selected records, to a connected CRM or sales engagement destination without exporting the whole audience. Each connected destination appears as its own export entry (e.g., Export to HubSpot · Contact).

  1. Open the audience.
  2. Find the record you want to export, then click the more actions icon in that row's quick actions.
  3. Click the export entry for the destination you want (e.g., Export to HubSpot · Contact).

To export several records at once, select their checkboxes and choose the export entry from the actions bar that appears. Records without a ZoomInfo match are skipped, and a message tells you how many were left out.

Track Your Exports

You can find your exports in three places:

  • The confirmation message: After you start an export, click View in exports in the message to open the Exports tab.
  • The audience banner: Recent exports of an audience appear in a banner above its records. Click View details in Exports to see them on the Exports tab.
  • The Exports tab: In the left navigation panel, click Audiences, then click the Exports tab.

The Exports tab lists each export with its audience, destination, record count, credit usage, start and completion times, export status, and match rate. The export status reads In Progress while the export runs, then Completed, Partially Exported, Failed, or Cancelled.

To act on an export, click the more actions icon at the end of its row:

  • Click Download to download a completed CSV or XLS file. Download is unavailable while the export is in progress.
  • Click View Error on a failed export to see what went wrong. If the issue persists after you try again in a few minutes, contact ZoomInfo Customer Support.

Click an audience name in the list to open that audience.

If you see an error

  • "Export failed. Check the Exports page for details." The export did not finish. Open the Exports tab, click View Error on the export, and try again in a few minutes.
  • "Export partially completed. Some records failed — check the Exports page for details." Some records were not exported. Open the Exports tab to see which ones, and export those records again.
  • "Export failed. Something went wrong. Please try again." The ad platform export did not start. Try again, and contact ZoomInfo support if it keeps failing.
  • "Failed to load ad accounts. Please try again." The list of ad accounts did not load. Close the dialog and open it again.
  • "No ad accounts found" The connected ad platform has no account to export to. Ask your admin to check the connection.
  • "Your Meta connection has expired." or "Your LinkedIn Ads connection has expired." Retrying does not help. Contact your administrator to reconnect the platform before you export.
  • "Contact administrator to connect to" a destination "to initiate export." Your organization has not connected that destination. Ask your admin to connect it.
  • "This export is already in progress. Please try again later." An export to that destination is still running. Wait for it to finish, then export again.
  • "We couldn't export your contacts" (or "companies") "because you don't have enough credits available." The export needs more credits than you have. Export fewer records, or ask your ZoomInfo admin for more credits.
