Overview

Apps (also called MicroApps) are custom tools you build in GTM One by describing what you want in a chat with the app builder. Every app runs on an audience, which acts as the app's data. The Apps page is the gallery of the apps you have built and the apps teammates have shared with you.

You can start a new app from the Apps page or directly from an audience. After you publish an app, you can share it with teammates and add it to your sidebar. For background on what apps are and what you can build, see Overview of Apps (MicroApps) in GTM One.

Before You Begin

You need at least one audience to build an app on. It can be an audience you created or one that was shared with you. If you do not have one yet, see How to Build an Audience in GTM One.

Create an App from the Apps Page

  1. In the left navigation panel, click Apps.
  2. Click Create in the top-right corner of the page. If you have no apps yet, click Create in the middle of the page instead.
  3. If a menu asks what you are building, click App.
  4. In the What should this app run on? dialog, type in the Search audiences box or scroll the Created by you and Shared with you lists to find the audience you want.
  5. Click Use on the audience's row. If the row opens a list of audiences inside it, click Use on the one you want.
  6. In the builder, type a description of what the app should do in the chat box and send it.
  7. Keep refining the app through chat until it works the way you want.
  8. Click Publish in the top-right corner of the builder.
  9. Click Yes, Publish to confirm.

To check an audience's records before you choose it, click the eye icon on its row to open a preview. Previewing does not run enrichment and spends no credits.

A newly published app starts private to you. Nothing is shared until you choose to share it. After you make more edits to a published app, click Publish changes in the top-right corner of the builder to update the live version.

Create an App from an Audience

  1. In the left navigation panel, click Audiences.
  2. Open the audience you want the app to run on.
  3. Click Activate in the top-right corner of the audience.
  4. In the Activate panel, click Build an App.
  5. In the builder, type a description of what the app should do in the chat box and send it.
  6. Click Publish in the top-right corner of the builder, then click Yes, Publish to confirm.

The builder opens with the audience already connected, so you do not pick it again. Activate is unavailable while the audience is still processing.

If apps are already built on the audience, an Apps button appears at the top of the audience. You can also click Apps, then click Build an App on this Audience to start a new one.

Find an App

  1. In the left navigation panel, click Apps.
  2. Click a tab to filter the gallery: All, My apps, Shared with me, or, if your organization has widgets, Widgets.
  3. Type in the search box (Search apps, or Search apps and widgets if your organization has widgets) to filter by name or description. To see only apps made by certain people, click Filters and choose them under Created by.
  4. Click the sort control, choose Last modified, Date created, or Name, then choose a direction (Newest first or Oldest first for dates, A–Z or Z–A for names).
  5. Click the view control to switch between the three-column grid, the four-column grid, and the list.

The All tab shows each group with its name, a count, and a short description. My apps usually comes first, but if you own no apps and some are shared with you, Shared with me comes first. When nothing matches your search, the page shows No apps match your search. Clear the search box to see your apps again.

GTM One remembers your sort and view choices the next time you open the page. When the page is too narrow for a grid, the list view is shown, and your grid choice returns when there is room again.

Each card shows who made the app and when. Your own apps show the creator plus Created and Updated times. Apps shared with you show Shared by and the owner's name. The small profile pictures on a card show who the app is shared with.

Understand App Status Labels

Your own apps carry a status label on the card. Apps shared with you do not show a status label.

  • Published: The app is live and can be opened, shared, and added to the sidebar.
  • Draft: The app has not been published yet.
  • Unpublished changes: The app is published, but it has edits that have not been published yet.
  • Unavailable: The audience behind the app can no longer be found (e.g., it was deleted, renamed, or moved, or your access changed).
  • Needs access: The audience behind the app exists but has not been shared with you. Ask the audience's owner to share it with you.

An app that is still being published updates on the page by itself, so you do not need to reload to see it change to Published.

Open an App

  1. In the left navigation panel, click Apps.
  2. Click the app's card.

A published app opens in the app view. An app that has not been published yet opens in the builder.

If the app's audience is unavailable or not shared with you, a dialog explains why and you stay on the Apps page. Click Back to apps to close it. If you own the app, you can click Edit app to open it in the builder.

The dialog has two forms:

  • "We can't find this app's audience": the audience could not be loaded. It may have been deleted, renamed, or moved, or your access may have changed.
  • "You don't have access to this app's Audience": the audience exists but has not been shared with you. Click Request Access to ask its owner. The dialog then shows "Request sent. We'll let you know as soon as the Audience's owner approves it." or, if you already asked, "Your request is waiting for the Audience's owner to decide." The Request Access button is shown when your organization has audience sharing turned on. See How to request access to an app.

Manage an App from the Card Menu

  1. In the left navigation panel, click Apps.
  2. Point to the app's card, then click the three dots icon in the top-right corner of the card's image. In list view, the three dots icon is always visible at the end of the row.
  3. Click the action you want: Edit, Duplicate, Share, Add to sidebar, or Delete.

The menu only shows actions that apply to the app:

  • Edit appears on apps you own and opens the app in the builder.
  • Duplicate appears when your organization has it turned on. It makes your own private copy of the app. If it is turned off, point to it to see why. See How to duplicate an app in GTM One.
  • Share appears on published apps you own. It is unavailable if you do not own the audience the app runs on. Point to it to see the reason.
  • Add to sidebar appears on published apps that are not already in your sidebar. In organizations that use the Workspace wording, it reads Add to Workspace, and apps already added show Remove from Workspace.
  • Delete appears on apps you own.

When an app's audience is unavailable, only Edit and Delete remain in the menu.

Share an App

You can share a published app that you own, as long as you also own the audience it runs on.

  1. On the Apps page, point to the app's card and click the three dots icon.
  2. Click Share.
  3. Search for and select the people you want to share the app with. Each recipient must be a ZoomInfo user.
  4. Under General access, select Private to share only with the people you added, or Everyone in org to share with your whole organization.
  5. Select the Yes, share the audience too checkbox (the checkbox shows your audience's name).
  6. Click Share.

Sharing an app also gives the recipients access to the audience data it runs on. Shared apps appear on the recipient's Shared with me tab. To learn more about audience sharing, see How to Share an Audience in GTM One.

Add an App to Your Sidebar

  1. On the Apps page, point to a published app's card and click the three dots icon.
  2. Click Add to sidebar.
  3. Choose an icon for the app.
  4. Click Add to sidebar to confirm.

The app then appears in your left navigation, so you can open it in one click.

Delete an App

  1. On the Apps page, point to the app's card and click the three dots icon.
  2. Click Delete.
  3. Click Yes, Delete to confirm.

Deleting an app cannot be undone.

Limitations

  • Only the owner of an app can edit it. People you share an app with can open and use it, but cannot change it.
  • Apps cannot be saved as templates. You can make your own copy of an app with Duplicate when your organization has it turned on.
  • You cannot take actions from inside an app (e.g., updating records). Apps are for viewing and working with audience data.

If you need a capability that is not listed here, contact your ZoomInfo admin or account team.
