Learn how to approve or deny requests from people who want to open your apps.

Overview

When someone opens an app that you own and have not shared with them, they can ask you for access. You review each request and decide whether to approve it. Approving a request shares the app with that person.

This is available when your organization has app access requests turned on. If you do not see an Access Requests button on the Apps page, ask your admin whether it is turned on.

Review a request

  1. In the left navigation panel, click Apps.
  2. Click Access Requests at the top of the page. A number on the button shows how many requests are waiting for your apps. No number shows when none are waiting.
  3. Read each pending request. A row shows who wants to open the app ("Wants to open") and which app it is.
  4. If the row offers Access to give, choose Viewer or Editor.
  5. Click Approve to give the person access, or click Deny to refuse the request.
  6. To change your mind, click Undo on the row. The row shows "Undoing…" until the earlier decision is reversed.

After you decide, the row shows an Approved or Denied tag, who asked, and whether they followed a link or were sent the app by someone ("Followed a link to it" or "Shared by"). An approved row reads " has received" access, and a denied row reads "'s request was denied".

You can also review a request from the app itself. Open an app you own in the builder, click the arrow beside Published (More options for Published), and click Access Requests. A window titled "Access requests" lists the requests for that app. If you follow the link in the owner email, the app opens with that request ready to review. Click Show All Requests to see every pending request instead.

What approving shares

Approving gives the person access to the app, not to the audience behind it. The approval footer says so: "Approving grants view access to this app, not to the Audience behind it."

When your organization has audience sharing turned on, approving can also share the audience, or ask the audience's owner to share it, and the footer reads "Approving gives them this App and its Audience, or asks the Audience's owner to share it." Requests for audiences are reviewed on the Audience access requests page.

Only the owner of the audience behind an app can approve a request when audience sharing is not turned on, because approving also grants access to the audience data.

If you see an error

  • "No pending requests". Nobody is waiting on you. When someone asks for access to one of your apps, the request shows up on this page.
  • "Couldn't load access requests". Something went wrong loading your requests ("Something went wrong on our side. Try again in a moment."). Wait a moment and try again.
  • "Couldn't load this app's requests. Close and try again." The window for one app did not load. Close it and open it again.
  • "This app's requests aren't available". The app may have been removed, or it may no longer be yours. Click Show All Requests to see requests you can act on.
  • "Approving is unavailable because you do not own the underlying Audience." You can approve only when you own the audience the app runs on. Ask the audience's owner to approve, or to share the audience with you.
  • "Approving is unavailable because this app's Audience couldn't be checked. Reload the page to try again." Reload the page, then try Approve again.
  • "Access approved, but the app's Audience couldn't be shared with them, so they may not see its data." The person can open the app but may see no data. Share the audience with them from the audience itself.
  • "Couldn't save your decision. Please try again." The approval or denial did not save. Click Approve or Deny again.
  • "Couldn't undo your decision. Please try again." The undo did not go through. Click Undo again.
  • "This request changed or was already decided. The list now shows the latest." Someone else decided the request first. Check the row for the current result.
  • "This access can't be approved here. If they already have some access, change their role from sharing instead." The person already has access to the app. Change their role from the app's sharing settings.
