How to Set CRM Export Settings for Your Organization as an Admin

Overview
Each connected CRM has its own export settings. They shape the Export menu and the dialogs your users see in GTM One, so a change here changes what every user can do the next time they export. See How to Export Records to Your CRM in GTM One for the user side.
You can set the following for each CRM:
- Record types a user can export. For example, a CRM that stores people as leads and as contacts can allow one, both or neither. When a CRM is connected but no record type is allowed, users see "Your admin has not enabled export for this record type." in the Export options menu.
- Whether new records can be created. A record type that cannot be created in the CRM is left out of an export, and the skipped records are reported as failed.
- How duplicates are handled. You decide, for each record type, whether users can choose Create duplicate and whether they can choose Update existing. Exclude match is always available.
- The export limit. The most records a user can send in one export, for each record type.
- Account association. Whether users can link a person to a single existing account, to one of several matching accounts, or to a new account, and whether an existing record can be re-linked to its account.
- People without an account. Whether a contact can be exported when no account is found for it.
- Currency. The currency the CRM uses for exported values.
- Adding to marketing flows. Whether Salesforce exports offer Add leads to Salesforce Campaign.
- Import history. Whether history is imported with the record, for each record type.
- Owner updates and follow-up tasks. Whether an export may update the record owner, and the task settings used for exports to the CRM.
Before you start
- Sign in to the Admin Portal as an admin.
- Connect the CRM and allow it for your organization first.
- A CRM that is allowed but has no saved settings uses the default settings for that CRM until you save your own.
How to change export settings
- Sign in to the Admin Portal.
- Open the Integrations area and select the CRM.
- Open the CRM's export settings.
- Choose the record types your users can export.
- For each record type, choose whether users can create duplicates and whether they can update existing records.
- Set the export limit, the account association options and the other settings you want.
- Save your changes.
The new settings apply to the next export a user starts.
How the settings affect an export
- If updating existing records is not allowed, a record that matches a record already in the CRM is left out of the export and reported as failed. Users are not offered Update existing.
- If an export would send more records than the limit allows, it does not start. The message names the CRM and the limit.
- Users who do not have bulk export access are held to the default limit for the CRM, even when you set a higher number. Bulk export is also not offered for Bullhorn, Pipedrive and SugarCRM, so those CRMs always use the default limit.
- Records that are unchanged since the last export are skipped and are not sent to the CRM again.
- Credits are charged only for records that were exported successfully and that have a ZoomInfo record behind them.
