How to Match ZoomInfo Users to CRM Users as an Admin

Learn how admins check and fix which CRM user each ZoomInfo user is matched to.
Overview
When a CRM has a shared connection, every ZoomInfo user in your organization is matched to a CRM user. The match decides which CRM user is recorded when that person exports. The Admin Portal lists your active ZoomInfo users with the CRM user each one is matched to. Users with no match are listed as unmapped.
GTM One makes the matches for you. It compares each ZoomInfo user's email address with the CRM users' email addresses, and when none matches it compares first and last names. A CRM user is matched to only one ZoomInfo user in an automatic match. You can fix any match by hand.
Before you start
- Sign in to the Admin Portal as an admin.
- Turn on the shared connection for the CRM first. See How to Set Up a Shared CRM Connection for Your Team as an Admin.
- The CRM must still be connected with the account behind the shared connection. For Salesforce, only standard users can be chosen.
How to review the matches
- Sign in to the Admin Portal.
- Open the Integrations area and select the CRM.
- Open the list of users for the shared connection.
- Type a name or email address in the search box to find a user. The search covers the user's name, user name and email address.
- Sort the list by name or by the CRM user it is matched to. Sorting by the match puts unmapped users first, and sorting it the other way puts them last.
The list shows 25 users to a page.
How to change a match
- Open the list of users for the shared connection.
- For each user you want to change, choose the CRM user they should be matched to, or leave them unmapped.
- Save your changes.
Every user you save must be an active user in your organization, and every CRM user you choose must exist in the CRM. If the CRM sign-in behind the shared connection is not valid, the save is refused until you reconnect the CRM.
How to match the users who have no match
Use this after you add users to your organization, or after you add users to the CRM.
- Open the list of users for the shared connection.
- Choose to map the unmapped users.
GTM One tries to match every unmapped user again by email address and then by name. Matches you already saved are not changed.
How to start the matching over
- Open the list of users for the shared connection.
- Choose to reset the user mapping.
The reset throws away every saved match, including the ones you set by hand, and builds the matches again from email addresses and names.
If you see an error
- "does not exists in the company". The match names a ZoomInfo user who is not an active user in your organization. Remove that user from the list and save again.
- "does not exists in the CRM". The match names a CRM user who is not in the CRM. Choose an existing CRM user, or leave the user unmapped.
- "No valid connector found". The CRM is not connected, or its sign-in is no longer valid. Reconnect the CRM with the account behind the shared connection, then try again.
- "No service account exists for this company". The shared connection has not been set up for this CRM. Turn it on first.
