Learn how to save an Advanced Search and get email alerts about new matches.

Overview

Saving a search in Advanced Search keeps its filters, so you can return to the same set of results later without rebuilding it. Subscribing to a saved search sends you email alerts when new contacts, companies, or scoops start matching it.

Use Save and Subscribe when you want to keep watching a segment over time (e.g., a territory, an industry, or a set of job titles) rather than acting on one list of results today.

The button you use depends on your plan:

  • On most plans, the button reads Save & Subscribe, and the dialog includes an Email Alerts section.
  • On Starter and Professional plans, the button reads Save, and you can save searches without email alerts.

The button appears only after at least one filter is applied. If you don't see it at all, contact your ZoomInfo admin to check whether saved searches are included in your access.

The Save Search dialog in Advanced Search.

  1. Run a search in Advanced Search with at least one filter applied (see How to Run an Advanced Search in GTM One).
  2. Click Save & Subscribe (or Save) in the top-right corner of the page.
  3. In the Save Search dialog, select Save as a New Search, or select Replace Existing Search to overwrite a search you already saved.
  4. Enter a name in the Search Name field, or choose the search to overwrite from the Select existing search dropdown if you are replacing one.
  5. Optionally, enter a Description to help you recognize the search later.
  6. Click Save.

A confirmation message appears when the search is saved.

Search name and description rules

  • A search name must be between three and 50 characters.
  • Names can contain letters, numbers, spaces, and these characters: _ - ( ) [ ] #
  • Each search name must be unique. If the name already exists, the dialog asks you to choose another one.
  • A description can be up to 250 characters.

When you select Replace Existing Search, the dialog shows a warning that alerts history for the existing search will be reset. The replaced search keeps its name and takes on your current filters. If the search you are replacing already has email alerts, its current alert settings are loaded into the dialog so you can review them before saving.

How to Turn On Email Alerts

Email alerts are available when the button reads Save & Subscribe.

  1. With your search open in Advanced Search, click Save & Subscribe in the top-right corner of the page.
  2. Select Save as a New Search or Replace Existing Search.
  3. Enter a name in the Search Name field, or choose a search from the Select existing search dropdown if you are replacing one.
  4. In the Email Alerts section, turn on the Turn on alert notifications toggle.
  5. Under Send notifications when, select Contacts Added, Companies Added, Scoops, or any combination of the three.
  6. Under Frequency, click Daily or Weekly.
  7. Click Save.

A confirmation message appears when email alerts are enabled. If the search saves but the alerts can't be enabled, a message tells you the search was saved and explains why the alerts failed.

Alert limits

  • Email alerts work only for searches with fewer than 100,000 results.
  • Each notification type is checked separately. If one type (e.g., Contacts Added) has 100,000 results or more, its checkbox is unavailable, and you can still select the others.
  • If every notification type is over the limit, the toggle is turned off and can't be turned on. Add filters to narrow the search, then try again.
  • At least one notification type must be selected when alerts are turned on.
  1. Click My Lists & Searches at the top of Advanced Search.
  2. Click Open saved searches.
  3. Click the saved search you want to open.

Save and Subscribe Compared with Follow and Add to Audience

Advanced Search offers several ways to keep track of records. They work differently:

  • Save and Subscribe keeps your search filters, so you can rerun the search and receive email alerts about new matches. It doesn't add any records to a list or to your feed.
  • Follow adds a company to your target accounts pipeline. The pipeline scores the account, calculates its Account Fit Score, and evaluates signal relevance. This processing runs nightly, so followed companies are not fully processed right away. For steps, see How to Follow a Company in GTM One.
  • Add to Audience adds the selected companies or contacts to an audience. It takes effect immediately. For steps, see How to Create an Audience from Advanced Search Results in GTM One.

WebSights has its own saved searches. For steps, see How to Save a WebSights Search in GTM One.
