Learn how the AI Emailer drafts, schedules, and tracks email in GTM One.
Overview
The AI Emailer writes emails for you from the work you are already doing in GTM One. You can start an email from a signal in the feed, from a meeting recording, or from the Email page. The emailer opens as an overlay on top of your current page, so you can review, edit, and send without leaving what you were doing.
The Email page keeps your sent and scheduled emails in one list. From there you can send a scheduled email right away, change when it goes out, edit it, or delete it.
The Email page and the AI Emailer are available to accounts with the emailer entitlement. If you don't see Email in the left navigation, contact your ZoomInfo admin.
Where You Can Start an Email
You can open the AI Emailer from several places:
- From a feed signal. Signals in the feed can include an email action. Using it opens the AI Emailer with the context of that signal, so the draft reflects why you are reaching out.
- From a meeting. On a meeting recording, click Draft follow-up email. The emailer drafts a follow-up that recaps the meeting and lists the action items. The first participant from outside your team is added as the recipient, and the other participants are added to the CC line.
- From the Email page. Click Draft Email in the top-right corner of the page to start a new email.
Anything you send or schedule from the emailer appears on the Email page without reloading it.
The Email Page
The Email page, titled Emails, lists your emails in four columns: Recipient, Email, Delivery, and Status. Each email shows one of these statuses:
- Sent: The email has gone out.
- Scheduled: The email is waiting to be sent at a set time.
- Sending: The email is being sent now.
Use these controls to find an email:
- Tabs: Click All, Sent, or Scheduled above the list to show one status.
- Search: Type in Search emails to find an email.
- Date range: Use the filters button to show the last 7, 30, or 90 days, or year to date. The list opens on the last 30 days.
- Sort: Use the sort button to order the list by delivery date or recipient.
The list shows 25 emails per page.
Open the Email Page
- In the left navigation panel, click Email.
- Click All, Sent, or Scheduled to choose which emails to see.
- Click Draft Email in the top-right corner of the page to write a new email.
Manage Scheduled Emails
Scheduled emails have an actions menu at the right of the row. Sent emails and emails that are sending have no menu, because they can no longer be changed. The menu offers:
- Edit in Emailer: Reopens the email in the AI Emailer. The scheduled copy is removed when the emailer opens, so sending it again does not create a duplicate.
- Send now: Sends the scheduled email immediately.
- Reschedule send: Opens the Reschedule send dialog, where you click a suggested time or pick a new date and time, then click Save. The new time must be in the future and different from the current one. When the recipient is in a different time zone, the dialog shows the time in the recipient's local time and tells you what that time is for you. The same dialog style, titled Schedule send, opens in the AI Emailer when you schedule a new email.
- Delete: Removes the scheduled email after you confirm.
For step-by-step instructions, see How to Use the AI Emailer in GTM One.
Follow-Up Series
Some scheduled emails belong to a follow-up series, a set of emails sent in order. Actions on these emails apply to the whole series:
- Edit in Emailer asks you to confirm, then cancels every scheduled step in the series before the emailer opens.
- Delete warns that the entire series will be deleted.
- Send now asks you to confirm and explains that the later emails in the series will be rescheduled.
- Reschedule send shows when the previous email in the series is scheduled and how many days later the next one is due. The dialog also includes an Edit Series button.
Emails in a series must be sent in order. If an earlier email in the series is still scheduled, you can't send a later one early, and the dialog tells you which email to send first.
