Learn how to draft, send, schedule, and manage emails with the AI Emailer.

Overview

The AI Emailer drafts emails for you from the work you are already doing in GTM One. It opens as an overlay on top of the page you are on, so you can review a draft and send or schedule it without leaving your place.

The Email page, titled Emails, lists your sent and scheduled emails in one place. From there you can send a scheduled email right away, change when it goes out, edit it, or delete it. Anything you send or schedule from the AI Emailer appears on the Email page without reloading it.

The Email page and the AI Emailer are available to accounts with the emailer entitlement. If you don't see Email in the left navigation panel, contact your ZoomInfo admin.

Generate an Email from a Signal in the Feed

  1. In the left navigation panel, click Feed.
  2. Find the card for the signal or contact you want to act on.
  3. In the Actions section of the card, click Email (or, on a signal card that lists several contacts, click the email action at the start of the Actions row).
  4. Review the draft in the AI Emailer, which opens over the feed.
  5. Send or schedule the email from the AI Emailer.

Start a New Email from the Email Page

  1. In the left navigation panel, click Email.
  2. Click Draft Email in the top-right corner of the page.
  3. Review the draft in the AI Emailer.
  4. Send or schedule the email from the AI Emailer.

When the list is empty, the same Draft Email button also appears in the middle of the page.

Review a Draft Before It Sends

You can reopen a scheduled email in the AI Emailer to review and change it before it goes out.

  1. In the left navigation panel, click Email.
  2. Click the Scheduled tab above the list.
  3. Click the three-dot menu at the right of the email's row.
  4. Click Edit in Emailer.
  5. Review and edit the email in the AI Emailer.
  6. Send or schedule the email again from the AI Emailer.

The scheduled copy is removed when the AI Emailer opens, so sending or scheduling it again creates a new email instead of a duplicate. If you close the emailer without sending or scheduling, the email will not go out.

Sent emails and emails that are sending have no menu, because they can no longer be changed.

Send a Scheduled Email Now

  1. In the left navigation panel, click Email.
  2. Click the Scheduled tab above the list.
  3. Click the three-dot menu at the right of the email's row.
  4. Click Send now.

If the email is part of a follow-up series, you are asked to confirm first. See Send a Series Email Now below.

Schedule or Reschedule an Email

You choose to schedule an email, rather than send it right away, in the AI Emailer when you finish a draft. A Schedule send dialog opens there so you can pick the time. For a follow-up in a series, a Schedule follow-up dialog opens instead, where you set how many days after the previous email it goes out (from 1 to 99 days) and the time of day.

To change the send time of an email that is already scheduled:

  1. In the left navigation panel, click Email.
  2. Click the Scheduled tab above the list.
  3. Click the three-dot menu at the right of the email's row.
  4. Click Reschedule send.
  5. In the Reschedule send dialog, click one of the suggested times (e.g., the next workday morning or afternoon), or pick a date in the Date field and a time in the Time field.
  6. Click Save.

The dialog opens on the time currently set. The suggested times are the next workday morning, the next workday afternoon, and the start of the next week. In the Time field you can choose a time from the list or type one (e.g., 9:30 AM). A summary at the bottom of the dialog shows when the email will send. If the date lands on a weekend, the summary warns that replies are usually slower then. Save stays unavailable until the new time is in the future and different from the current one.

When the recipient is in a different time zone from you, the dialog says the times are in the recipient's local time, names the recipient and their location, and the summary shows what that time is for you.

Delete a Scheduled Email

  1. In the left navigation panel, click Email.
  2. Click the three-dot menu at the right of the email's row.
  3. Click Delete.
  4. In the Delete Scheduled Email dialog, click Yes, Delete.

Manage a Follow-Up Series

Some scheduled emails belong to a follow-up series, a set of emails sent in order. Actions on these emails can affect the whole series, so GTM One asks you to confirm first.

Edit a Series

  1. In the left navigation panel, click Email.
  2. Click the three-dot menu at the right of an email in the series.
  3. Click Edit in Emailer.
  4. In the Edit Email Series dialog, click Yes, Edit all Emails.

Every scheduled step in the series is canceled, and then the AI Emailer opens so you can rework the series.

Send a Series Email Now

  1. In the left navigation panel, click Email.
  2. Click the three-dot menu at the right of an email in the series.
  3. Click Send now.
  4. In the Send Email Now? dialog, click Yes, Send Email Now.

The later emails in the series are rescheduled. Emails in a series must be sent in order. If an earlier email in the series is still scheduled, the dialog tells you which email to send first and Yes, Send Email Now stays unavailable.

Reschedule an Email in a Series

  1. In the left navigation panel, click Email.
  2. Click the three-dot menu at the right of an email in the series.
  3. Click Reschedule send.
  4. In the Reschedule send dialog, click a suggested time, or pick a date in the Date field and a time in the Time field.
  5. Click Save.

For a series email, the dialog says when the previous email in the series is scheduled and how many days later the next follow-up is due. To change the whole series instead, click Edit Series in the dialog. This cancels the scheduled steps and opens the series in the AI Emailer without a separate confirmation.

Delete a Series

  1. In the left navigation panel, click Email.
  2. Click the three-dot menu at the right of an email in the series.
  3. Click Delete.
  4. In the Delete Email Series? dialog, click Yes, Delete Series.

Deleting any email in a series deletes the entire series.

Find an Email on the Email Page

  1. In the left navigation panel, click Email.
  2. Click All, Sent, or Scheduled above the list to show one status.
  3. Type in Search emails to the right of the tabs to find an email.
  4. Click the filters button and choose a Date range (Last 7 days, Last 30 days, Last 90 days, or Year to date).
  5. Click the sort button and choose Delivery Date or Recipient.

The list opens on the last 30 days (the Date range filter shows no selection until you pick another range) and shows 25 emails per page. You can also click the Recipient or Delivery column heading to sort, and click it again to reverse the order.

If a search or filter finds nothing, the page shows No emails match these filters. Click Clear filters to clear the search and return the date range to the last 30 days. Your tab stays the same. If the list shows Couldn't load emails, check your connection and click the retry button.
