How Admins Can Use GTM One to Manage Credits and User Access at Scale

Learn how admins track credits and manage user access and layouts in GTM One.

Learn how admins track credits and manage user access and layouts in GTM One.

Overview

Admins manage credits and user access in GTM One from a few places:

  • Credits: Each Audience shows the credits it has used in the Audience Context section of its Settings panel. The Settings navigation also has Usage and Billing pages for people who have access to them. When someone runs an AI column in an Audience, the confirmation shows the AI action credits available.
  • Access and roles: Role-based access control (RBAC) carries over from Copilot and GoToMarket Studio, so users keep the permissions they already had. GTM One has no role settings of its own. Every role change is made in the ZoomInfo Admin Portal, which is unchanged and opens from the products menu.
  • Profile layouts: Admins assign profile layouts to teams or individual users in GTM One Settings.
  • Audience access: Each Audience belongs to the user who created it and starts out private. The Audience owner decides who can view or edit it.

GTM One does not have a screen for setting a credit allocation for one user, and a full list of every permission isn't available yet. For the steps to add users, give many users access at once or set credit allocations, see the section on provisioning below.

Before you start

  • Admin Portal: Only people whose account includes the Admin Portal see it in the products menu. If Admin Portal isn't listed, ask your ZoomInfo admin to make the change or to give you access.
  • User Layouts: Only admins on a paid plan see User Layouts in Settings. Someone who isn't an admin and opens the page's address is sent back to the main Settings page. If you don't see it, ask your ZoomInfo admin.
  • Usage and Billing: Whether you see Usage and Billing in Settings depends on your role, and Billing can be missing while Usage shows. If a row is missing, ask your ZoomInfo admin. What those pages show is not covered here.

Review the Credits an Audience Has Used

  1. In the left navigation panel, click Audiences.
  2. Click the name of the Audience you want to review.
  3. On the left side of the page, find the narrow rail labeled Settings and click its expand button (Expand Audience Settings). The Settings panel opens.
  4. In the Audience Context section at the top of the panel, click See more details....
  5. Review the Credit cost row, which shows the credits the Audience has used, followed by "cr." If the row reads Missing, the credit count isn't available for that Audience.
  6. To fold the details away, click Collapse details. To fold the whole panel back into its rail, click Close at the bottom of the panel.

For other places GTM One shows credit usage, such as the enrichment run log, and for what each credit type covers.

Check the AI Action Credits Available

Credits are spent when an AI column runs, so the number available is shown at that moment.

  1. Open an Audience and run an AI column from its column header.
  2. In the confirmation, read the Estimated AI action credits row and the AI action credits available line at the bottom. The estimate row appears only when the column is estimated to cost credits.
  3. Click the cancel button to stop without spending credits, or confirm to run the column.

If no AI action credits are left, GTM One shows an out of credits message instead of the confirmation, and the column does not run. Contact your ZoomInfo account team about your organization's credits.

Change a User's Access

GTM One doesn't have its own permission settings. To change what a user can do, open the Admin Portal.

  1. In the lower-left corner of the left navigation panel, click your name or profile initial.
  2. Hover over Products to open the ZoomInfo products menu.
  3. Click Admin Portal. The Admin Portal opens in a new browser tab.

GTM One uses the permissions a user holds, and every change to them is made in the Admin Portal. The Admin Portal's own screens for adding a user, changing a role or setting a credit allocation are not covered here. For more detail, see How to Set Up Users and RBAC in GTM One.

Give Many Users Access at Once

For a new user to open GTM One, their account must be provisioned. A person who is not provisioned can't open GTM One yet. Your organization can set up access for many users together by mapping an attribute from your identity provider to a Subscription Group, so a new user's product access and credits are set when their account syncs. See SCIM User Provisioning with Subscription Groups. Your ZoomInfo account team can also help with provisioning many users at once.

Assign a Profile Layout to Teams or Users

The User Layouts page is only available to administrators. A layout must be public and active before you can assign it. For how to make a layout public, see How to Set Up Users and RBAC in GTM One.

  1. Open the profile menu in the lower-left corner of the page.
  2. Click Settings.
  3. In the Settings navigation, under Assignments, click User Layouts.
  4. In the left panel, select the Set team/individual layouts checkbox.
  5. Select the checkbox next to each team or person you want to assign the layout to. Selecting a manager also selects their whole team.
  6. In the right panel, find the card for the profile type you want (Company profile, Contact profile, or Opportunity profile) and click its Layout dropdown.
  7. Select the layout.
  8. Click Save changes at the bottom of the right panel.
  9. If a confirmation dialog appears, click Apply. The dialog appears when your change affects 50 or more people, or when it also updates the Chrome Extension layout.

The assignment screen shows only the change you're making. It doesn't show which layout a user already has.

Control Who Can See an Audience

Admins don't manage Audience access centrally. Each Audience owner shares their own Audience with specific people or with everyone in the organization, as a viewer or an editor. For the steps, see How to Share an Audience in GTM One.
