Learn how an admin chooses, for each role in your organization, which layouts its users see in GTM One and whether they can change them.

Overview

Role Layouts is a page under Settings where you pick, for one role at a time, four things: the layout for Company profile pages, the layout for Contact profile pages, the layout for Opportunity profile pages, and the App layout, which controls the GTM One landing page and left navigation. For each of the four you also decide whether users with that role may personalize it.

A row you leave on the default follows whichever layout is marked as the Default for that page type. If the default changes later, everyone in the role who follows it moves with it.

Saving changes the layout settings for everyone who has that role, so check the role's name in the confirmation dialog before you confirm.

Before you start

  • You need to be an admin on a paid GTM One plan. If you are not, the Role Layouts row does not appear in Settings. A non-admin who cannot see it should ask an admin of the organization. Saving without admin rights fails with "Only admins can change Role layouts."
  • Role Layouts is available when your organization has it turned on. If you are an admin and there is no Role Layouts row under Set Up in Settings, it is not turned on for your organization; ask your ZoomInfo account team. When it is on, it takes the place of the per-user User Layouts page.
  • Roles come from User Management. The page lists the roles created there. If it shows "No roles yet" with "Roles created in User Management show up here.", create a role first. See How to Set Up Users and RBAC in GTM One.
  • The layouts you want to pick must exist. The lists offer published profile layouts and published App layouts (workspaces) only. A row with no published layout shows "No published layouts to choose from yet." and its controls are off. App layouts are the Workspaces you manage in How to create and manage Workspaces as an admin in GTM One; the page reads that list again each time you open it.
  • Web layouts only. The lists leave out the Chrome extension copy of a layout; Role Layouts sets what users see in the GTM One web app.

Choose the layouts for a role

  1. In the left navigation, click Settings.
  2. Under Set Up, click Role Layouts.
  3. In the Roles panel on the left, find the role. Type in Search roles to narrow the list by name. If nothing matches, the page shows "No roles match your search"; try a different role name.
  4. Click the role. Its name appears as the heading of the panel on the right, with "Choose settings for users with this role."
  5. For each of Company profile, Contact profile, Opportunity profile and App layout, open the layout list and pick a layout. Pick the one marked Default to follow the default instead of pinning that layout.
  6. Next to each list, turn Let users personalize on or off:
    • On for a profile row: users can switch to a different layout or build their own personal version.
    • Off for a profile row: it is locked; users see the layout you selected and cannot change it.
    • On for App layout: users can reorder their apps in the sidebar.
    • Off for App layout: users see the app order assigned and cannot rearrange it.
  7. Click Save changes at the top of the page.
  8. In the Save layout settings? dialog, which asks "Save these layout settings for" the role, click Save. Click Cancel to go back and keep editing.

A role nobody has configured starts with every row following its default, the three profile rows locked, and the App layout open to reordering.

Check the result

After you click Save, GTM One shows "Layout settings saved" and the Save changes and Reset buttons turn off. Select the same role again, or reload the page: each row shows what you saved.

Undo changes before you save

  • Click Reset to throw away the edits you have not saved for the role you are viewing and return its rows to what was last saved.
  • If you click another role or leave the page with unsaved edits, GTM One asks "Discard unsaved changes?". Click Keep editing to stay, or Discard and switch (or Discard and leave) to drop the edits.

Settings you have already saved are not undone by Reset. To change them, edit the rows and save again.

If you see an error

  • "Couldn't load roles". The list of roles did not load. Click Retry.
  • "Couldn't load this role's settings". The saved settings for the selected role did not load, so its rows are hidden and Save changes is off. Click Retry.
  • "Couldn't load profile layouts" or "Couldn't load App layouts". The layouts for that row did not load. Click Retry on the row; the other rows still work.
  • "Only admins can change Role layouts." You do not have admin rights. Ask an admin of your organization to make the change.
  • "We couldn't reach the list of Roles, so nothing was saved. Please try again." Nothing changed. Wait a moment and click Save changes again.
  • "We couldn't save these layout settings. Please try again." Your edits stay on the page. Check that the layouts you picked are still published, then save again. If it keeps failing, contact your ZoomInfo admin or account team.
