Learn how to add pictures, recordings and documents to a note in GTM One.

Overview

A note can hold more than text. You can add an image, a video, an audio clip, a text file or a PDF, and the note shows it in place. Each file is checked when you upload it. GTM One accepts only the file types and sizes listed below, and it scans every file for malware before keeping it.

Before You Begin

Check that your file is one of these types and within its size limit:

  • Images: .gif, .jpg, .jpeg and .png, up to 2 MB.
  • Video: .mp4, .webm, .mov and .ogg, up to 200 MB.
  • Audio: .mp3, .m4a, .wav and .ogg, up to 20 MB.
  • Text: .txt, .csv and .rtf, up to 2 MB.
  • PDF: .pdf, up to 10 MB.

Office documents, XML files and programs are not accepted. A file must also be what its name says it is, so renaming a file to a different extension does not work. You need to be able to edit the note. A note that is in the trash or shared with you as read-only does not take uploads.

Add a File to a Note

  1. In the left navigation panel, click Documents.
  2. Open the note you want to add the file to.
  3. Click Insert at the right of the formatting toolbar, or type / in the writing area and keep typing to filter the menu.
  4. Select the kind of item you want to add (e.g., an image, video, audio clip or file).
  5. In the panel that opens, choose the file from your computer.
  6. Wait for the upload to finish. The file appears in the note, and the note saves itself like any other change.

Files are kept for the person who uploaded them. If a colleague adds a file to a note that is shared with you, it may not open for you.

If you see an error

  • "Error uploading file:" followed by a reason. The file was refused, which usually means its type is not accepted, its contents do not match its name, it is larger than the limit for its kind, or it did not pass the malware scan. Choose a file of an accepted type within the size limit, and try again.
  • "This note is read-only". The note is in the trash or was shared with you without edit access. Restore the note, or ask its owner to share it with edit access.
